3. User Accounts

When you create an account with us, you must provide accurate, complete, and current information. You are responsible for safeguarding your password and all activities under your account.

  • You are responsible for maintaining account security
  • You must notify us immediately of any unauthorized access
  • One person or entity may maintain only one account

4. Event Registration and Participation

Event registration is subject to availability and approval. By registering for events:

  • You commit to attending registered events
  • You agree to follow event guidelines and conduct policies
  • You understand that cancellation policies may apply
  • You consent to photography/videography for promotional purposes

Prohibited Registration Practices

  • Fake Registration: Creating false or fraudulent event registrations
  • Multiple Account Registration: Registering for the same event using multiple accounts
  • Identity Misrepresentation: Using false personal information or impersonating others
  • Bot/Automated Registration: Using automated tools or scripts for registration
  • Slot Hoarding: Registering for events without genuine intention to attend
  • Registration Selling/Trading: Transferring registration slots to unauthorized persons

Consequences: Any form of registration abuse will result in immediate account suspension or permanent ban, and revocation of ALL certificates earned on the platform.

Safety and Personal Responsibility

Important Safety Notice

Your safety and well-being are your personal responsibility. Please read and understand these safety requirements:

  • Personal Safety: You are responsible for your own safety and well-being during all events
  • Emergency Contacts: You must ensure your emergency contact information is correct and updated at all times
  • Personal Belongings: We are not liable for any lost, stolen, or damaged personal belongings
  • Health Conditions: You must disclose any relevant health conditions that may affect your participation
  • Insurance: You are responsible for your own health and travel insurance coverage

Liability and Risk Acknowledgment

  • Personal Property: APU SFF is not responsible for any lost, stolen, damaged, or missing personal belongings including but not limited to bags, electronics, valuables, documents, or clothing
  • Personal Safety: You acknowledge that participation in events involves inherent risks and you participate at your own risk
  • Emergency Preparedness: You must maintain current and accurate emergency contact information and ensure someone can be reached in case of emergency
  • Medical Conditions: You must inform organizers of any medical conditions, allergies, or dietary restrictions that may affect your participation
  • Transportation: You are responsible for your own transportation to and from events unless specifically provided by the organization
  • Weather Conditions: Outdoor events may proceed despite weather conditions; you must come prepared with appropriate clothing and gear
  • Compliance with Laws: You must comply with all applicable laws and regulations during events
  • Alcohol and Substances: Consumption of alcohol or illegal substances during events is strictly prohibited
  • Physical Fitness: You confirm that you are physically and mentally capable of participating in the registered activities

Attendance Requirements and Academic Integrity

Mandatory Attendance Rules
  • Physical Presence Required: All attendance must be taken on the spot during the actual event
  • Committee Authority: Attendance procedures are subject to announcements by Committee Members, Event Leaders, or Faculty Advisors
  • No Proxy Attendance: You cannot have someone else take attendance on your behalf
  • Full Event Participation: Attendance requires presence for the entire duration unless officially excused
  • Follow Instructions: You must follow all attendance-related rules and announcements made during events
Attendance Fraud Consequences

Zero Tolerance Policy: If you are caught taking attendance for an event you did not actually attend:

  • Immediate Certificate Revocation: ALL certificates earned will be permanently revoked
  • Account Suspension: Your account may be suspended or permanently banned
  • Academic Reporting: Fraudulent activity may be reported to your academic institution
  • Future Event Ban: You may be permanently banned from all future APU SFF events
  • Legal Consequences: Severe cases may result in legal action for fraud

Detection Methods: We employ multiple verification methods including photo verification, QR code validation, timestamp checking, and staff monitoring to detect attendance fraud.

Release of Liability

By participating in any APU SFF event, you agree to release and hold harmless APU Sustainable Future Fusion, Asia Pacific University, event organizers, volunteers, sponsors, and developer Khoo Lay Yang from any and all claims, damages, injuries, losses, or liabilities arising from your participation in events.

5. Content and Conduct

Account Security and Usage

Account Sharing Prohibited
  • No Account Sharing: Users are strictly prohibited from sharing their accounts with others
  • Password Security: Users must not share their passwords with anyone
  • Personal Responsibility: Each account must be used only by the registered user
  • Violation Consequences: Account sharing will result in immediate account suspension or termination

  • Certificate Fraud: Forging, altering, or misrepresenting certificates will result in permanent ban and legal action
  • System Manipulation: Attempting to hack, exploit, or manipulate platform systems or databases
  • False Documentation: Submitting fake academic credentials, IDs, or personal information
  • Harassment/Discrimination: Engaging in harassment, bullying, or discriminatory behavior towards other users
  • Commercial Spam: Using the platform for unauthorized commercial activities or spam
  • Academic Dishonesty: Any form of cheating, plagiarism, or academic misconduct during events
  • Disruption of Events: Deliberately disrupting, sabotaging, or interfering with event operations
  • Violation of Event Rules: Failure to follow specific event guidelines, safety protocols, or staff instructions

Universal Consequences for Serious Violations: Immediate account termination, revocation of ALL certificates, reporting to academic institutions, potential legal action, and permanent ban from all APU SFF activities.

  • Continuous Monitoring: We actively monitor all platform activities for compliance violations
  • Automated Detection: Advanced systems detect suspicious patterns, fake registrations, and fraudulent activities
  • Staff Verification: Event staff are trained to identify and report violations during events
  • Community Reporting: Users can report violations through our secure reporting system
  • Investigation Process: All reported violations undergo thorough investigation with evidence collection
  • Appeal Process: Fair appeal procedures available for contested violations (serious fraud excluded)
  • Documentation: All violations and actions are thoroughly documented for accountability

Prohibited Content

Users are prohibited from posting or sharing content that is:

  • Illegal, harmful, or offensive
  • Discriminatory or harassing
  • Spam or promotional without permission
  • Infringing on intellectual property rights
